Terms and Conditions

Effective 1 October 2026

These terms apply to every enquiry, quotation and order placed with Apostille Service Singapore ("we", "us", "our"). By asking us to start work on your document, you ("you", "the client") agree to them. Please read them together with our privacy policy.

1. Who we are and what we do

1.1 Apostille Service Singapore is a private document services provider at 7 Temasek Boulevard, #12-07 Suntec Tower One, Singapore 038987.

1.2 We arrange notarisation by notaries public, authentication and apostilles by the Singapore Academy of Law (SAL), legalisation by embassies and high commissions, translation, and collection and delivery of documents within Singapore.

1.3 We are not affiliated with SAL, any embassy or any government agency. Only SAL can issue an apostille in Singapore, and only a notary public can notarise a document. Notaries public act independently under their own professional duties.

1.4 We are not a law firm and do not give legal advice. Information on our website and in our messages is general guidance on document procedures, not advice on your legal position.

2. Quotations and prices

2.1 Prices on our website are starting prices. Your final price depends on the document type, number of pages, number of signers and destination country, and is confirmed in a written quotation (including by WhatsApp or email) before any work begins.

2.2 A quotation states our fee and the government, notary and embassy fees we expect to pay for you. These third-party fees are set by SAL, the notary's fee scale and each embassy. If a third party changes its fee before we pay it, we will tell you before proceeding.

2.3 A quotation is based on the documents and information you give us. If the documents turn out to be different (for example more pages, more signers or a different route), we will send a revised quotation before continuing.

2.4 Quotations are valid for 14 days unless stated otherwise.

3. Payment

3.1 We accept all major payment methods, including PayNow, bank transfer, credit and debit cards and cash.

3.2 Depending on the order, we may ask for full payment in advance or a deposit, with the balance due before the processed documents are released. Corporate account clients may be invoiced monthly, with payment due within 14 days of the invoice date.

3.3 We are not obliged to submit a document to a notary, SAL or an embassy until the related third-party fees have been paid.

4. Your responsibilities

4.1 You must give us genuine, lawfully obtained documents and accurate information, including the correct spelling of names, the destination country and the receiving authority.

4.2 You are responsible for checking what the receiving authority requires (for example an apostille, embassy legalisation, a translation or a recently issued document). We will gladly help, but the receiving authority's requirements are outside our control.

4.3 Signers must attend the notary in person with valid identification when a signature has to be witnessed.

4.4 We may refuse or stop work on a document that appears altered, damaged, fraudulent or intended for an unlawful purpose, or where a notary, SAL or an embassy declines to act. Fees already paid to third parties will not be recovered in that case.

5. Acceptance by foreign authorities

5.1 An apostille or legalisation confirms the origin of a document, such as a signature, seal or stamp. It does not confirm that the content of the document is correct.

5.2 Each foreign authority decides for itself whether to accept a document. We prepare documents with care to meet the requirements we know of, but we cannot guarantee that a foreign authority will accept them.

6. Turnaround times

6.1 Turnaround times we give are good-faith estimates in working days. SAL's counter is open on weekdays only, and embassies set their own processing times.

6.2 Same-day service depends on our published cut-off times, notary availability and SAL's opening hours. Documents received at weekends, on public holidays or after a cut-off are processed on the next working day.

6.3 We are not responsible for delays caused by SAL, notaries, embassies, couriers, public holidays, system outages or incomplete information, but we will keep you informed.

7. Cancellations, refunds and free reissue

7.1 You may cancel an order before we start work, and any amount paid to us will then be returned in full.

7.2 Once work has started, our service fee is not refundable. Government, notary, embassy and translation fees are paid to third parties and are never refundable, whether or not the document is later used.

7.3 If a document is rejected or contains an error because of something we did or should reasonably have caught, we will correct and reissue it free of charge. We redo our part at no cost and pay the repeat government and notary fees ourselves. This is our main remedy for errors in our work.

7.4 A reissue caused by information you gave us, a change in your requirements or a decision of a foreign authority is charged as a new order, and we will quote it first.

7.5 Nothing in these terms affects any rights you have under the Consumer Protection (Fair Trading) Act 2003 or other Singapore law that cannot be excluded.

8. Your documents, collection and delivery

8.1 We take reasonable care of original documents while they are with us, and record each handover.

8.2 Documents are returned by collection from our Suntec office, by our doorstep service or by courier within Singapore, as agreed in the quotation. Risk passes to you when the document is handed to you or delivered to the address you give us.

8.3 If processed documents are not collected within 30 days after we tell you they are ready, we may send them to your last known Singapore address by courier at your cost.

9. Confidentiality and personal data

9.1 We keep your documents and information confidential and use them only to deliver your service, as explained in our privacy policy.

9.2 Copies and scans of your documents are deleted within 3 days after the service is delivered. Corporate clients may request a non-disclosure agreement.

10. Our liability

10.1 We provide our services with reasonable care and skill.

10.2 To the extent permitted by law, our total liability for any order is limited to the service fee you paid us for that order, together with the free correction and reissue described in clause 7.3.

10.3 We are not liable for indirect or consequential losses, such as missed travel, visa, employment, property or business opportunities, or for the acts and decisions of SAL, notaries, embassies, foreign authorities or couriers.

10.4 Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited under the Unfair Contract Terms Act 1977 or other Singapore law.

11. Events outside our control

We are not responsible for failure or delay caused by events beyond our reasonable control, including government closures, changes in law or procedure, embassy suspensions, public health measures, natural disasters, strikes and system failures. We will tell you as soon as possible and agree the next steps with you.

12. Website content

The content of this website belongs to Apostille Service Singapore. It is general information, is checked regularly and may change as rules change. You may share links to our pages, but you may not copy substantial parts of the content without our permission.

13. Changes to these terms

We may update these terms from time to time. The version on this page when you place an order applies to that order.

14. Governing law and disputes

14.1 These terms are governed by the laws of Singapore.

14.2 If you are unhappy with our service, please contact us first so we can try to resolve it quickly. Eligible claims may be brought before the Small Claims Tribunals. Otherwise, the courts of Singapore have exclusive jurisdiction.
